A practical RFQ template for EV parts buyers covering part numbers, specifications, approved alternatives, quantities, samples, destination, documentation, inspection, commercial terms and change control.
A Request for Quotation is more than a request for price. For EV cables, connectors, contactors, heaters and related components, the RFQ tells suppliers exactly what they are pricing and what evidence must accompany the offer. Better input reduces assumptions and makes quotations easier to compare.
1. Use one line per item
Include manufacturer, full part number, suffix, revision and buyer reference. For assemblies, attach the approved drawing and BOM. If uncertain, label the identification for confirmation.
2. Separate exact-match and alternatives
- Exact part only: no substitute.
- Approved alternatives only: use the attached list.
- Proposal allowed: a candidate is not approved until technical and compliance review.
For alternatives, identify non-negotiable interface, dimensions, duty, materials, environment, certification scope and documentation.
3. Provide quantities and units
Separate sample, first-order and forecast quantities. Specify pieces, metres, sets or assemblies. For cable, give cut length and tolerance. For connectors, clarify housing-only or complete kit with terminals and seals.
4. Explain the application
A short description such as battery service disconnect, inverter cable assembly or DC charging contactor helps identify missing questions. Share confidential drawings through an approved channel.
5. List required documents
- Datasheet and customer drawing.
- Required certificate and report references.
- Material declaration when applicable.
- Lot/date-code traceability and certificate of conformity.
- Inspection report, packing list and labelling.
- Origin information when procurement or customs requires it.
Do not request generic “all certificates.” Name the standard and evidence; certification cannot be inferred from a brand or family.
6. Define samples and inspection
State whether samples are for fit, validation, pilot build or approval. Attach the approved inspection plan. Acceptance limits should not be invented after delivery.
7. Include destination and commercial framework
- Ship-to city and country.
- Requested Incoterm and named place.
- Currency, quote validity and dates.
- Packaging and export marking.
- Preferred payment terms, subject to agreement.

8. Require assumptions and exclusions
Ask suppliers to list deviations, assumptions, missing documents and exclusions. A low price based on an incomplete kit or omitted testing is not directly comparable.
